        Position Title: Parish Bookkeeper (Part-Time)
        Reports To: Rector / Parochial Vicar
        Hours: Part-Time (approximately 25 hours/week)
        Location: St. Mary's Catholic Cathedral  |  1200 S. Washington Street  |  Amarillo, Texas

        Position Summary

        The Bookkeeper is responsible for managing the day-to-day financial operations of the Cathedral. This position ensures financial transparency, handles accounts payable/receivable, processes payroll, and assists in budget preparation. Because employment within the Catholic Church is fundamentally a ministry, the bookkeeper must support the spiritual mission of St. Mary's Catholic Cathedral and adhere to the ethical and moral teachings of the Roman Catholic Church.

        Key Responsibilities

        • General Accounting: Maintain accurate accounting records in accordance with Diocesan guidelines and Generally Accepted Accounting Principles (GAAP).
        • Accounts Payable (A/P): Process and verify invoices, prepare checks for leadership approval, and maintain vendor records.
        • Accounts Receivable (A/R): Record daily receipts, process cash/checks from Sunday collections, and make secure bank deposits.
        • Payroll: Process bi-weekly payroll, track employee timecards, and coordinate with the diocesan payroll/HR office.
        • Donor & Contribution Records: Reconcile contributions, assist with money-counting ministries, and generate annual tax statements for parishioners.
        • Reporting: Prepare monthly financial statements and reports for the Cathedral Finance Council and the Roman Catholic Diocese of Amarillo.
        • Compliance & Audits: Ensure compliance with all diocesan financial policies, tax regulations, and internal controls. Assist with year-end closing and annual audits.
        • Other Duties: Perform other duties, as assigned by the Rector or Parochial Vicar.

         
        Qualifications & Requirements 
        • Education/Experience: High School Diploma required; Associate's or Bachelor's degree in Accounting, Finance, or Business preferred. At least 3-5 years of proven bookkeeping experience.
        • Technical Skills: Proficiency with accounting software (QuickBooks / QuickBooks Online), and strong working knowledge of Microsoft Office (especially Excel).
        • Diocesan Requirements: Must successfully pass a criminal background check and complete Safe Environment / Ethics training as mandated by the Diocese of Amarillo.
        • Cultural Competency: Practicing Roman Catholic preferred, with a strong understanding of Church structures and parish ministries.

        Physical Requirements 
        • Prolonged Sitting: Ability to sit at a desk and work on a computer for up to eight (8) hours per day.
        • Repetitive Motions: Frequent manual dexterity required for keyboarding, data entry, and handling paper documents.
        • Vision & Hearing: Close visual acuity to read financial spreadsheets and monitor computer screens. Ability to hear and communicate via telephone.
        • Lifting: Ability to occasionally lift and carry office supplies or heavy collection bags/boxes weighing up to 25 pounds.
        • Mobility: Ability to navigate a standard office environment, including bending, reaching overhead, and traveling to the local bank to make secure deposits.

        Work Environment
        • Work is performed primarily in a standard, quiet parish office setting at St. Mary's Catholic Cathedral in Amarillo, TX.

        Position Title: Parish Secretary
        Reports To: Pastor
        Hours: Full-Time (32+ hours/week)
        Location: St. Anthony's Catholic Church  |  114 Sunset Drive  |  Hereford, Texas

        Responsibilities Include:

          1. Greet those who come into the office in a kind and professional manner, answer their questions, give needed assistance, or refer them to the proper staff person.
          2. Answer the telephone in a kind and professional manner, give assistance or forward the call to the appropriate staff person.
          3. Keep church records as assigned; of primary importance is the maintenance of current membership roll and mailing list. Maintain and update mailing list, membership status, and committees.
          4. Maintain Sacramental records and facilitate all Sacramental record requests.
          5. Organize and send all bulk mailings. Complete postal forwarding of daily church mail.
          6. Give clerical support to office staff as needed. Order office supplies as needed by the church office, or as directed by other staff. Order and maintain adequate inventory of office supplies. Arrange for delivery or pick up of supplies when necessary. Maintain office equipment and arrange for repairs when needed. Maintain an orderly personal environment.
          7. Maintain a master calendar of all church activities and of all events taking place in our facilities in union with the Parish School.
          8. Schedule meetings and arrange appointments as needed for the Pastor.
          9. Manage and record all cemetery transactions for St Anthony's Catholic Cemetery.
          10. Manage, record, and schedule Mass intentions.
          11. Coordinate Parish Charitable Assistance programs and records.
          12. Annual evaluations
          13. Arrange for work to be done when away for vacation, training events, or leave of any kind. Inform the Pastor at least two weeks prior to taking vacation or personal leave. In case of sudden illness, contact the Pastor and other office staff as soon as possible. Arrange a substitute to cover Front Desk duties.
          14. Perform other tasks as assigned by the Pastor

        Professional Skills Needed:

        • Bilingual (Spanish) is required
        • Operation of computer systems (Microsoft Office Suite, Email)
